APEC Accommodations
Event Alliez started working with the Asia-Pacific Economic Cooperation, APEC when the 2023 series of meetings was brought to 4 locations throughout the United States. Tasked with finding hotel accommodations for 500+ guests over a series of 4, 3-week meetings in 4 major markets, the Event Alliez team went to work. Throughout the different cities, Event Alliez worked with the various foreign economies to find suitable hotel room blocks, building on the expertise with hotel contracting and negotiations to ensure both the economy and the hotel received the best deal. After each city-wide meeting, the team carefully reviewed hotel lists and contracts to minimize attrition and maximize hotel usage. The team has conducted site visits to various cities to ensure that the hotel accommodations team recommends suitable hotel stays for Senior-level staff, creating relationships with both economies and hotels around the country. Consistently reaching out to the different hotels means our team has the best understanding of availability in a given market, and has the contacts to make booking a breeze.
International Forum
Over the past 7 years, Event Alliez has been contracted by production companies to return to an international event due to the expertise our team brings to the overall production. Our team arrives on site 2 weeks prior to the event and starts working instantly on arranging a concierge-level stay for the duration of the event. This event contracts through 5+ local hotels to ensure that Foreign Heads of State receive the best safety and security that can be arranged. Through regular communications and collaboration with host(s) and foreign delegations, security measures are discussed and debriefed with staff for the duration of the event. During this event, the entire hotel is contracted to our team, and hotel rooms are strategically assigned by the Event Alliez team. Additionally, Event Alliez works collaboratively with the client to create and execute spouse tours of the area. Event Alliez ensures that all guests experience white-glove service throughout their time at the event. Association Annual Meeting
As the executive producer of a national convention with 8,000+ guests, Event Alliez and our team work to bring innovative ideas to produce a bigger and better event year after year. Pre-planning meetings start a full year ahead of the event, where our team is an integral part of not only the planning for technical aspects but also the design concepts and overall flow of the 3-day program. The team attends site visits with the client to collaborate on ideas within the given space, and our knowledge of various convention centers around the country means that we can draw on creative concepts from other events to bring dreams to reality. As the event gets closer, the Event Alliez team attends regular meetings with the client and other vendor partners, creating a team approach before arriving on site. Once on site, the fun begins! A multi-day build out starts and by the end of set up, the ballrooms are entirely transformed into an immersive branded experience. The show comes to life when the attendees rush in at 8:00 am, ready to learn from our keynote speakers and connect with colleagues from around the country. Keynote speakers are ushered through rehearsal schedules and show schedules to ensure that everyone feels show ready, with no anxiety jitters the night before. With our help, the conference has doubled its attendees over time, and feedback from attendees indicates satisfaction according to post-show debrief meetings. Capital Pride Festival
For more than 10 years, the Event Alliez team has been managing the Capital Pride Festival build out, preparing the streets of Washington DC into a fenced area with exhibitors, stages, and more. Our team arrives on site just as the sun is going down the night before the festival begins, and we get to work. From installation of tents, fences, and barricades to coordinating vendors with portable restrooms and waste management, our team remains on site through the night to ensure that by sunrise, the Capital Pride team arrives back on site ready to execute a fantastic festival. During the morning site walk through, the streets of DC have transformed into a field of tents, adorned with rainbow flags and vendor tables moving in. At the end of Pennsylvania Ave., a large stage has been built, ready for musical talent to take the stage later in the day. Event Alliez has been a proud partner to Capital Pride for more than 10 years and continues to be an active part of festival planning year after year.
B’ More Bold
Event Alliez event management services bring our team on from the start of an idea until the last call during the show. For CCBC’s Center for Business Innovation team, this meant starting with a vision for B’More Bold, unsure of how to make it happen. Event Alliez started with a site evaluation, visiting 5 properties and reviewing contracts to ensure that the arrangements for both production and catering needs were beneficial to the client. Once the location was selected, we worked with the team to help design the layout of the space, taking into consideration attendee demographics and opportunities to interact with both sponsors and exhibitors. Together with the team at CCBC and the venue, Event Alliez created a timeline with key project deadlines and began meeting regularly to keep the project moving forward. The team worked with sponsors to ensure they were satisfied with the event, and all expectations are exceeded. Our team arrived on site for load in, ready to tackle the event, through rehearsals, and at the time of the show, stood by to oversee vendors. From an idea of an event through full production, the team worked alongside CCBC and their team to ensure a successful first B’More Bold.
